Storage settings

Configure file storage providers, upload rules, usage monitoring, and connection tests for an Edmissa workspace.

Storage settings control where Edmissa stores uploaded files and how admins manage storage health. Use this page when your team uploads student profile documents, application files, form attachments, and supporting records.

Storage changes can affect daily work. Review the current setup before making changes, and test the connection before users depend on the new configuration.

Before you start

Prepare these details before changing storage settings:

Do not change storage during a busy upload period unless the change is urgent.

Open Storage Settings

Use this path when you want to manage file storage:

  1. Open Settings.
  2. Open Storage.
  3. Confirm the page title is Storage Settings.

The direct route is /t/settings/storage.

The page has four tabs: Providers, Usage, Settings, and Testing.

Review the current configuration

At the top of the page, Current Configuration shows the active storage provider and status.

FieldWhat it tells you
ProviderThe selected storage provider.
StatusWhether the configuration is active or inactive.
BucketThe S3 bucket when S3 storage is configured.
Storage usedThe amount of storage already used.
Files storedThe number of files currently stored.

If storage is inactive or missing, users may not be able to upload files reliably. Configure a provider before changing upload rules.

Configure a provider

Open the Providers tab to review the available storage providers. Provider availability can depend on the workspace plan and permissions.

The provider cards use these status labels:

ActiveThis provider is currently used for file storage.
ConfiguredThis provider has saved settings but is not active.
Not ConfiguredThis provider still needs setup before it can be used.

Use Configure or Reconfigure to edit provider settings. Use Activate only when you are ready for Edmissa to use that provider.

Amazon S3 or S3 compatible storage

When Amazon S3 / S3-Compatible is available, Edmissa can store files in Amazon S3 or another S3 compatible service such as MinIO or DigitalOcean Spaces.

The S3 setup dialog includes these sections:

Advanced ConfigurationPublic Base URL, CDN URL, Use SSL/HTTPS, and Activate Configuration.
Test ConnectionTest Connection checks the bucket before saving.

Use Save Configuration for a new setup or Update Configuration when you are changing an existing S3 setup.

Keep access credentials in an approved secure location. If a secret key is exposed, replace it in your storage provider and update Edmissa.

Local File System

If Local File System appears, it is intended for simple single server deployments or infrastructure managed setups. It requires a base storage path and a public URL for file access.

Use this option only when your technical team has confirmed that local storage is appropriate for your deployment.

Monitor storage usage

Open the Usage tab to review storage health.

The usage dashboard shows these cards:

Total FilesCount of stored files.
Storage LimitThe available storage limit for the workspace.
Recent ActivityNumber of recently uploaded files.

The page can also show Storage by Category, Storage by Document Type, and Recent Uploads. Use these sections to find which file groups are using the most storage.

If storage usage is high, Edmissa can show Storage Nearly Full or Storage Limit Exceeded. When that happens, review recent uploads, remove unneeded files if allowed by your policy, or contact the storage owner before users hit upload failures.

Configure upload rules

Open the Settings tab to control upload and file management behavior.

If no provider has been configured, the page shows No Storage Provider Configured. Configure a provider first, then return to this tab.

File Upload Settings

Use File Upload Settings to set the largest file size and accepted file types.

Maximum File SizeChoose the largest file users can upload.
Allowed File TypesSelect the MIME types users can upload.
Custom MIME TypesAdd extra MIME types as a comma separated list.

The visible maximum file size options are 1 MB, 5 MB, 10 MB, 25 MB, 50 MB, 100 MB, 200 MB, and 500 MB.

Keep upload rules practical. If passport scans, transcripts, or bank statements are often larger than the limit, users will be blocked. If the limit is too large, storage can fill quickly.

CDN and Performance

Use CDN and Performance when files should load faster or images should use less storage.

SettingHow to use it
Enable CDNTurn this on when files should be served through a Content Delivery Network.
CDN URLEnter the CDN endpoint URL.
Enable Image CompressionTurn this on to compress uploaded images.
Compression QualityChoose the balance between image quality and file size.

Higher compression quality keeps images clearer but uses more storage.

File Management

Use File Management to control retention and version history.

SettingHow to use it
Enable Automatic File RetentionAutomatically delete files older than the selected period.
Retention PeriodChoose when old files should be deleted.
Enable File VersioningKeep older versions when files are replaced.
Maximum Versions per FileLimit how many versions Edmissa keeps for each file.

The visible retention options are 30 days, 90 days, 6 months, 1 year, 2 years, 5 years, and Forever (no auto-deletion).

Use automatic retention carefully. Student and application documents may need to be kept for legal, admissions, finance, or audit reasons.

Select Save Settings after changing upload, CDN, compression, retention, or versioning settings.

Test storage

Open the Testing tab after configuring a provider.

Use Run All Tests to run the full test set:

Upload TestWhether upload behavior appears healthy.
Download TestWhether download behavior appears healthy.
Permissions TestWhether required storage permissions are available.

The test summary can show All Tests Passed or Some Tests Failed. It can also show upload speed, download speed, and latency when those results are available.

After a successful test, upload one harmless sample file from a student profile or application. This confirms the everyday user workflow, not only the settings page.

For a study abroad agency, start with a simple setup:

  1. Configure one active provider.
  2. Test the provider connection.
  3. Use a maximum file size that fits common student documents.
  4. Allow only the file types your team actually accepts.
  5. Leave automatic retention off until your agency has a clear retention policy.
  6. Use versioning for important documents that users may replace.
  7. Review usage weekly during the first rollout.
